This information is available to you from the Insight Online Devices area. Derived contracts and warranties In your list of contract and warranty shares, some are derived by Insight Online. Derived means that Insight Online finds the contracts and warranties associated with a given group of devices. A derived contract and warranty share is created automatically from a device group that: • is your default device group • you created • you are an administrator of You can view the details of these derived contract and warranty shares (Figure 11 (page 13)) but unlike a contract and warranty share that you create yourself, you cannot edit them. Figure 11 View the details of a derived contracts and warranty share You can, however, update the derived contract and warranty share from the device group area, by selecting Run contract and warranty update in the Actions dropdown menu of the corresponding device group (Figure 12 (page 14)). Derived contracts and warranties 13 Figure 12 Run contract and warranty update in the corresponding device group Linking contracts and warranties to devices not remotely supported To make devices that are not managed by Insight RS appear in Insight Online, you must link a contract or a warranty that covers those devices to your HP Passport ID. Link contracts and warranties to your HP Passport ID from the Contracts & Warranties item in the main Insight Online dropdown menu. The procedure is similar for each type: support agreements (Figure 13 (page 14)), HP care packs, and warranties. Figure 13 Linking a support agreement, with ownership types The first person who links an HP contract or warranty becomes the initial owner. As owner you decide the ownership type: either single or multiple. This choice affects the visibility of both the contract or warranty, and of the associated devices. If you select single ownership, no one else in your organization can see the associated devices in their device view, unless you share (described in “Sharing contracts and warranties” (page 15)). In general it is best practice to select multiple ownership, since this type of support is typically managed by a group, not an individual. If you attempt to link a contract or warranty and see an error message stating that the support agreement is already linked to someone else, contact that owner to get access rights. This may be the result of someone selecting single ownership when the owner created the link, and not creating a share with a user group that includes you. The owner may not be revealed, if he or she has privacy enabled, so you may have to find the contract administrator on your site to identify the 14 Managing contracts and warranties in Insight Online owner. Once identified the owner should change the ownership type for that contract or warranty link from single to multiple, or add you to a share with the necessary privileges. Sharing contracts and warranties After you have linked contracts and warranties to your HP Passport ID, you can then share them with other users. You do this by creating contract and warranty shares (Figure 14 (page 15)). Figure 14 Creating a contract and warranty share 1. From the Manage contracts & warranties page, click Create new share. 2. Provide a share name and description. 3. Search for or add identifier(s) for one or more contracts or warranties. 4. Add users. 5. Add roles. Roles are assigned groupwide. That is, everyone in a group is assigned the role that is selected for the group. Some have role names (for example, administrator). Others mean that you have the privilege to use the feature or do the action (for example, Patch or View service credits). User groups that you create during this process are also available to associate to device groups during the process of creating a device group. Sharing contracts and warranties 15 Contract & warranty privacy Contracts and warranties have a privacy setting (see Privacy opt-in in the Managing your contracts & warranties area), which has a different effect depending on the ownership mode you select, as shown in the table below. Note that answering yes to the privacy opt-in means you are making your information visible. You can view and change this privacy setting at any time.
